Job Purpose:

  • Deliver physical security services, safety management and facilities management (FM) and, including managing the service providers and contractors.
  • Interface with the building landlords, data center service providers and relevant parties for all FM/Physical Security related matters, and ensure that FM & physical security related contracts are maintained to provide necessary supplies and services.
  • Maintenance, safety and security of office premises including overseeing renovation and relocation projects and after-office-hour standby support in the event of office emergencies, disaster recovery activation, facilities related alarms and physical security incidents.
  • Responsible for local regulatory topics and reporting and also to ensure relevant internal requirements (e.g. Physical Security Standard of IT equipment rooms and IT components, Key Management Guideline, GOP Global Outsourcing Policy) and external regulatory requirements (e.g. PBOC Regulations and Guidelines) are highlighted and fulfilled.
  • This position is based in China.

Key activities

  • Carry out regular checks to ensure the proper functioning of facility management and physical security devices and systems
  • Work closely with the business/support units to understand their operational requirements in order to provide timely delivery of FM related services
  • Handle maintenance of office facilities and infrastructure including IT-Server Room/Data Centre
  • Administer access rights to the premises and issue access cards / passes in accordance with prevailing policies and guidelines.
  • Provide standby support in the event of office emergencies/disaster and response to BMS/EMS and security alarms
  • Support and coordinate office moves in conjunction with the business/support where applicable
  • Implement and operate building management and physical security systems, e.g. door access control, closed circuit television (CCTV) and alarm systems
  • Establish surveillance points for all critical facilities and ensure monitoring via CCTV and door alarm systems
  • Carry out review and spot-check to ensure that suppliers/service providers are meeting contractual obligations including physical security system maintenance
  • Carry out regular controls to meet all relevant requirements according to SEC24004, GOP, Safety and Security as well as external requirements (incl. Data Centre)
  • Manage the office keys, fire drills, workplace safety and health according to applicable guidelines
  • Act in line with the code of conduct and ComValues and especially uphold the culture of Integrity at all times
  • Adhere to all internal policies and procedures and related Compliance tasks, as well as external regulatory requirements
  • Stay up-to-date with current trends and regulations within the scope of facility management and physical security and provide input to regional and global organisation
  • Provide input to streamline processes and processes and procedures and improve efficiency.
  • Assist with any other duties as assigned by the Regional Head GS-OS, Regional Physical Security & Facility Management / Infrastructure Asia or direct supervisor

Formal education:

  • University or college or comparable professional experience in Building/Facilities Management / Mechanical or Electrical Engineering.
  • Suitable experience in similar roles, preferable within the Financial Services industry

Specialist knowledge (work experience, further qualification):

  • At least 3-5 years' experience in similar set-up
  • Good attention to details and willing to acquire new knowledge
  • Service oriented and familiar in multicultural working environments
  • Team player with ability to work independently
  • Knowledge in physical security (CCTV, access control, alarm), telecommunications (VOIP)
  • Proficient with MS Office especially Excel, Excel Macros and PowerPoint
  • Organized, able to prioritize and resourceful with trouble-shooting skills
  • Good understanding of local regulatory requirement and reporting

Detailed Requirements for each career level (each ComMap Level separately)

  • Good knowledge of Workplace Safety and Health (WSH)
  • Good knowledge of Fire Safety is desirable
